SITS–Moodle Integration Case Study

UKCBC relied on both SITS and Moodle as core operational systems. However, critical academic and user data was being maintained through manual processes, including CSV exports, manual imports and direct updates within Moodle.

This created delays, data inconsistencies and a reliance on specialist development support.

PS edtech, supported by Regent Global Services (RGS), was engaged to design and deliver a secure, automated integration that would treat SITS as the system of record and synchronise data in near real time.

The Challenge

  • Manual, CSV-based processes for transferring data between systems

  • Data inconsistencies across SITS and Moodle

  • Delays in updating student, staff and course information

  • Reliance on specialist Moodle development support

  • Lack of a scalable and maintainable integration approach

Our Approach

PS edtech worked closely with UKCBC to design a practical, supportable integration approach aligned to how the institution was already operating.

The focus was on:

  • treating SITS as the authoritative system

  • automating key workflows across both systems

  • ensuring the solution was secure, maintainable and aligned to vendor best practice

The integration was designed using a combination of SITS StuTalk business events, Moodle web services and a dedicated integration layer to manage data mapping, validation and synchronisation.

  • Event-driven SITS integration using StuTalk business events

  • Automated create, update and deactivate workflows across systems

  • Secure Moodle integration using native web services

  • Dedicated integration broker for data mapping and validation

  • Persistent cross-referencing of SITS and Moodle record IDs

  • Automated monitoring, failure detection and support notifications

  • Full auditability and bidirectional status handling
